Workspace: Document Folders
Structure, find, and permission-share documents in self-named folders inside the Workspace.
Create and Name Folders
Under Workspace → Documents, "New folder" creates your own folders with a name and an optional color. Names can be changed at any time from the context menu.
Folders can be nested across multiple levels. When a whole folder is dropped in, the platform recreates its structure including the folder names.
- Name and color right at creation time
- Rename, move, copy, and delete from the context menu
- Move documents between folders by drag and drop
- Knowledge collections appear as mirrored Workspace folders

Find and Share
Folder tree, breadcrumb, and search work together: search covers files and folders, and the details pane shows size, modification date, and contents per entry.
- Sort by name, date, size, or type
- Aggregated folder size and subfolder count in the details pane
- Copy a link to a folder or document — valid only for members of the same tenant
Per-Folder Permissions
Rights are set per folder and role: write, read, no access, or inherit. They cascade to subfolders and files unless overridden there. Only tenant administrators may change them.
The same write permission also governs who may edit an Office file in the browser.
Naming in Practice
Agree on a naming convention early. Folder names resurface in search, in shared links, and in the mapping to knowledge collections — renaming later is possible, but a convention keeps already-distributed links meaningful.
- Department or process instead of person names
- Lead with year or period when new versions arrive regularly
- Keep confidential material in its own folder with tighter rights
